Effective date: January 1, 2026

1. Introduction and Scope

This Privacy Policy (“Policy”) explains how NAVAIA AI LLC. (“NAVAIA,” “we,” “us,” or “our”) collects, uses, stores, and discloses information in connection with our websites, software applications, and services (collectively, the “Services”). NAVAIA provides an AI-powered communications and operational platform for insurance agencies and other service-based businesses (“Customers”). In many cases, NAVAIA processes data on behalf of Customers and under their direction. By accessing or using the Services, you acknowledge that you have read and understood this Policy.

2. Information We Collect

We collect information depending on how the Services are used. This includes account information such as name, email address, company or agency name, account credentials, and billing information processed by third-party providers. When Customers use NAVAIA to handle communications, we may process call metadata, call recordings, transcripts, messages, attachments, and files transmitted via SMS or MMS. Customers are solely responsible for obtaining all required notices and consents under applicable law. We also collect usage and technical data such as log files, IP addresses, analytics, diagnostics, and error logs. If Customers connect third-party platforms such as CRMs, we may receive data made available through those integrations based on Customer configuration.

3. How We Use Information

NAVAIA uses information to provide, operate, and maintain the Services; enable core functionality; process payments; communicate updates; improve security and performance; detect fraud or abuse; and comply with legal obligations. NAVAIA does not sell personal data and does not use Customer content to train general-purpose AI models for third parties.

4. Customer Responsibilities and Roles

NAVAIA acts as a service provider or data processor in many cases. Customers control what data is collected, how calls are handled, whether recording or transcription is enabled, and which integrations are used. Customers are responsible for compliance with applicable laws.

5. Sharing and Disclosure of Information

We may share information with service providers, customer-directed integrations, to comply with legal requirements, or in connection with business transactions such as mergers or acquisitions.

6. Data Retention

We retain information only as long as necessary to provide the Services, fulfill contractual and legal obligations, resolve disputes, and enforce agreements. Retention periods may vary.

7. Data Security Disclaimer

NAVAIA implements commercially reasonable safeguards to protect information. However, no system is completely secure, and we do not guarantee protection against unauthorized access.

8. Third-Party Services

The Services rely on third-party providers for infrastructure, analytics, speech processing, and payments. These providers operate under their own privacy policies.

9. Your Privacy Rights

Depending on jurisdiction, individuals may have rights to access, correct, delete, or port personal data. Requests may be subject to verification and legal limitations.

10. Children’s Privacy

The Services are not intended for children under 13, and NAVAIA does not knowingly collect personal information from children.

11. Limitation of Liability

To the maximum extent permitted by law, NAVAIA disclaims liability for indirect or consequential damages related to data processing, and Customers agree to indemnify NAVAIA for claims arising from their use of the Services.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the Services constitutes acceptance of any updated Policy.
